Finance Desk · Peppol e-invoicing

Peppol e-invoicing, run every day by someone who knows it.

Dedicated bookkeepers who send, receive and process your Peppol e-invoices, resolve rejections and keep your software in sync, so Belgium's e-invoicing mandate and the coming EU rules are handled without extra headcount.

The situation

Since 1 January 2026, Belgian businesses must exchange structured e-invoices. The rule is simple; the daily reality is not.

Belgium made structured electronic invoicing (Peppol BIS) mandatory for B2B transactions between Belgian VAT-registered businesses from 1 January 2026, with near-real-time reporting to follow. The Netherlands already requires e-invoicing to government and the EU's ViDA package will extend digital reporting across borders. Software vendors have added Peppol buttons, but somebody still has to make sure every invoice goes out correctly, every incoming invoice is processed and every rejection is fixed.

Haven Teams bookkeepers take on that daily work inside your accounting or ERP system: checking that outgoing invoices carry the mandatory fields and VAT codes, processing incoming Peppol invoices into your AP workflow, resolving rejections and missing Peppol IDs with your customers and suppliers, and reconciling what was sent and received.

Rejected invoices delay cash

Missing fields, wrong VAT codes or an unregistered Peppol ID bounce the invoice and the payment.

Suppliers still send PDFs

Half your suppliers are on Peppol, half are not, and both streams need processing.

Nobody owns the process

Finance assumes the software handles it; the software assumes someone is checking.

FAQ

Questions we get asked

Is Peppol e-invoicing really mandatory in Belgium?

Yes. From 1 January 2026, structured e-invoices are mandatory for B2B transactions between Belgian VAT-registered businesses, using the Peppol network and BIS format, with limited exceptions. Near-real-time e-reporting is planned to follow. Your accountant or adviser can confirm how it applies to your specific situation.

Does this apply to Dutch businesses too?

Dutch businesses must e-invoice the central government and many Dutch companies trade with Belgian partners who now require Peppol. The EU ViDA package will extend digital reporting for cross-border transactions in the coming years, so setting up a clean process now pays off.

Can you help us set up Peppol?

We help operationally: checking your software settings, registering IDs with your access point and testing with key customers and suppliers. Choosing and contracting software or an access point stays with you and your accountant.

What happens when an invoice is rejected?

Your bookkeeper reads the rejection message, fixes the invoice or the master data, resends it and logs the cause so recurring problems with a customer or supplier are solved at the root.
